Terms and Conditions

1. Introduction

The following Terms and Conditions apply to all services provided by Infinity Tennis (Phoenix Leisure Limited). All customers must agree to these Terms and Conditions prior to participating in any Infinity Tennis sessions.

Infinity Tennis reserves the right to modify or introduce new rules as required to ensure the safe, efficient operation and financial sustainability of its facilities and programmes.

2. Coaching Packages & Membership Requirements

2.1 Coaching Packages

Infinity Tennis memberships are categorised as Coaching Packages, which provide access to coaching sessions held at affiliated tennis venues. These Coaching Packages are available in three tiers:

  • Bronze Package – Includes one coaching session per week (based on 38 sessions per year).

  • Silver Package – Includes two coaching sessions per week (based on 76 sessions per year).

  • Gold Package – Includes three coaching sessions per week (based on 112 sessions per year).

These packages offer structured training tailored to players' abilities and development needs.

Weekday sessions are held during term time only, and package pricing reflects this schedule.

2.2 Tennis Venue Membership Requirement

Holders of an Infinity Tennis Coaching Package must also become members of the affiliated tennis venue where their lessons take place. Each club operates independently, with membership fees and terms that are separate from Infinity Tennis Coaching Packages.

Failure to renew or complete annual membership with the relevant venue could result in the suspension of coaching sessions until this requirement is fulfilled. To accommodate changes of mind, a four-week period is provided to make this payment after the first session.

2.3 Coaching Package Renewals & Cancellations

  • Auto-renewal: Coaching Packages automatically renew on a monthly basis. Members can cancel at any time before the next monthly payment is processed.

  • Cancellations: Cancellations should be made either through the member portal or by emailing gavidvickers@infinity-tennis.co.uk. Members are solely responsible for cancelling any Direct Debit or card transactions. Retrospective refunds will not be provided.

Members will receive written notice each month detailing the upcoming payment, giving ample opportunity to cancel if desired.

3. Sessions & Bookings

3.1 Session Availability & Booking

Sessions are available as listed in the Infinity Tennis booking system.

  • Members have priority booking for their regular slots each month.

  • Members may change their classes via the booking system within the same week (Monday to Sunday), subject to availability. For instance, if unable to attend a Saturday session, you can rebook for an earlier day within the same week, such as Monday.

If sessions are consistently under-attended, they may be cancelled, and participants will either be refunded or reallocated, where appropriate.

3.2 Waiting Lists

Each session has a maximum capacity to ensure quality and safety.

When sessions are fully booked, a waiting list will be created. Members will be contacted as spaces become available.

3.3 Session Changes & Cancellations

Infinity Tennis will provide prior notice of any changes to class times or availability, where possible. Notifications will be sent via email.

  • If a session is cancelled by Infinity Tennis, a replacement session or credit will be issued.

  • If a coach is unavailable, a replacement coach will be arranged, or the session will be rescheduled. If rescheduling is not possible, a credit will be issued.

4. Payments & Refunds

4.1 Payment Policy

Payment details will be securely stored for the duration of your package.

Payments are collected on the 1st of each month. Failure to make a payment may jeopardise your place in the programme.

4.2 Price Changes

Pricing may be reviewed periodically, and at least one month's notice will be given ahead of any price changes.

4.3 Refund Policy

Membership and package fees are non-refundable.

Infinity Tennis notifies members of payment collections in advance, giving members the opportunity to cancel their package if desired. Cancellations should be made via the online portal or by emailing gavidvickers@infinity-tennis.co.uk. Members are responsible for completing the cancellation process.

Retrospective refunds will not be granted.

5. Dispute Resolution

Infinity Tennis encourages open communication between players, parents, and coaches.

For unresolved disputes, please submit a written complaint to gavidvickers@infinity-tennis.co.uk.

Coaches and staff are entitled to carry out their duties without harassment or intimidation. Infinity Tennis will take necessary steps, including suspending or terminating coaching packages, to ensure this.

6. No-Show Policy

  • Parents and adult players can cancel their session up to the session’s start time and reschedule within the same booking period.

  • For holiday camps, sessions must be cancelled at least four hours in advance, and credit will be issued for future use (no refunds).

Missed sessions due to illness, holiday, or personal circumstances will not be refunded or credited, ensuring financial sustainability for all sessions.

7. Photography & Video Consent

Upon registration, members can provide or decline consent for photography. This consent is recorded in the Infinity Tennis register to keep coaches informed.

This process adheres to GDPR compliance and safeguarding policies.

8. Health & Safety

Participants confirm they are fit for physical activity.

Individuals with pre-existing health conditions are strongly advised to consult a medical professional before participation.

A medical questionnaire must be completed through the Infinity Tennis system. Any serious medical conditions should be reported to Gavid Vickers at gavidvickers@infinity-tennis.co.uk.

9. Weather Policy

  • Sessions will only be cancelled in advance during red weather warnings.

  • The first two weather-related cancellations each year are non-refundable. Any further cancellations will result in credit towards Holiday Camp vouchers (excluding adult members).

  • Adults will receive session credits for cancellations that cannot be rescheduled.

10. Liability

Infinity Tennis is not liable for injuries unless caused by staff negligence.

While the highest levels of safety are maintained, participation in sports involves inherent risks. Players participate at their own risk.

Infinity Tennis is not responsible for lost or stolen property.

11. Code of Conduct

11.1 Player Charter

Players are expected to respect coaches, fellow participants, and facilities.

Prohibited behaviour includes swearing, racket-throwing, bullying, and disruptive conduct.

Disciplinary action follows a three-strike process:

  1. Verbal warning.

  2. Written warning.

  3. Suspension or termination from the programme.

11.2 Parent Charter

Parents should:

  • Encourage children’s independence.

  • Praise effort over outcomes.

  • Promote respect and sportsmanship.

11.3 Coach Charter

Coaches adhere to the LTA’s Code of Conduct, prioritising energy, trust, quality, and progression.

12. Tennis Venue Membership Terms & Conditions

Each affiliated venue operates independently, with its own membership fees, rules, and regulations. Members should refer to their chosen venue for details about:

  • Court access and bookings.

  • Club-specific policies.

  • Additional club fees.

Failure to comply with venue membership terms may affect eligibility for Infinity Tennis Coaching Packages.

13. No-Smoking Policy

Smoking and vaping are strictly prohibited on courts and in clubhouses.
